Application of the Passport

  I. Requirements for Application

 

a)    A signed application letter to DG Immigration and Emigration in Kigali-Rwanda: indicate your current physical address, phone number and e-mail address,

b)    A Filled application form (click here to download the form)

c)    A copy of the expired passport:  only relevant pages, including, a bio-page (photo, names, date and place of birth etc), entry visa etc

d)    A Police Form/Report indicating that your passport was stolen (applies only if your passport was stolen),

e)    two recently taken colored passport-size photos (with clearly seen ears and cheeks from the front view and white background),

f)      A copy of your resident permit,

g)    If you have other nationality, you need to attach a copy of your passport or citizenship certificate (if this is the case, point 6 above is not applicable)

h)    For those living outside Japan: Transfer the total amount of 18,000 JP¥ (Non-Refundable/Non-Transferable) to the Embassy bank account (see details below). The amount covers:

     v  12, 300 JP¥: Passport fee (for a single passport)

     v  4,000 JP¥:

o    This is compulsory bank charges: please ask your local bank if   there is no an intermediary bank between them and our local bank (Bank of Tokyo-Mitsubishi UFJ Ltd), if there is then you need to add 3,000 JP¥  (charges for an intermediary bank): this does not include the transfer charges of your local bank.

     v  1,700 JP¥: for the handling (postage) charges when sending your passport to you

i)      For those who living in Japan: transfer the total amount 12,300 JP.

     v  Postage charges when sending document and receiving passport will be borne by client.

 

II.     Passport Requirements for a Child under 16 Years Old

 

a)   An application letter jointly signed by both parents, addressed to DG Immigration: indicate parents current physical address, phone number and e-mail address,

b)   A filled application form (a form per each child): (Click here to download the form

c)    Note: on signature box, you write a child's full name in capital letter

d)   Attach a certified copy of a Child’s Birth Certificate.

e)   A copy of parents marriage certificate,

f)     Two recently taken coloured passport-size photos (with Clearly seen ears and cheeks from the front view and with white background),

g)   Copies of parents’ valid Rwandan passports: only relevant pages, including a bio-page (photo, names, date and place of birth etc.), entry visa etc.

h)   A copy of parents resident permit,

i)     For those living outside Japan: Transfer the total amount of 18,000 JP¥ (Non-Refundable/Non-Transferable) to Embassy bank account (see details below): The amount covers:

III.     In case of Loss, Theft or Damaged Passport 

  

a)      In case the passport was lost abroad, the applicant should bring the police certificate from the country where the passport was lost and a travel document used while coming back to Rwanda; 

b)     Fulfill all necessary requirements again for passport application; 

c)      Pay a fine of 6,300 JP Yen addition to the passport fee of 12,300 JP Yen (in the event of loss, theft or damage)

d)     On loss of passport applicant has to wait for 30 days from the date of application to get his or her new passport as provided for by the immigration law. 

  

NB:

 

     v  Please be informed that it takes up to two month to process application for a new passport;

     v  You are advised to send the document through either EMS/DHL/FEDEX or any other fast courier service providers of your choice; our full address is as follows:
